6 useful reports in TimeLog Project

Maybe you are using the same reports as always. Maybe you are curious to know which new reports have been made available since you started using TimeLog Project. In this blog post we will show you 6 of the best reports in TimeLog Project.

In TimeLog Project you have – depending on your version – access to approx. 80 reports, which cover anything from time registrations on projects per employee to absence reports and budget reports.

It may be difficult to know which reports are the best for your particular needs. That is why we have made a top 6 of the most important and best reports in TimeLog Project. 

1. Project Overview

In this report all relevant project data is presented in a nice, graphical interface, which can be exported to e.g. Word or Excel. The report itself includes ALL data on the project, among others contribution ratio, completion rate, project totals, project plan in hours and amount, Gantt-chart etc.

How can you use it?

This report can in particular be used:

  • To show a complete overview of economic key figures compiled in one document
  • As documentation handouts for project meetings
  • To export project data into Excel
  • To print/export Gantt-charts, if necessary for other purposes

2. Time registrations (NEW)

This report is excellent, if you need a list of data for each time registration. It can be exported to Excel in an extended pivot-export and is well suited for grouping data in several segments.

How can you use it?

This report is particularly good:

  • For going through registered hours for e.g. a project, a client, an employee or a department.
  • To use for data export to Excel to further process the data using Excel's pivot tools.
  • To cover errors in contract settings and invoicing for the project
  • To read all comments given in the time registrations

TIP: You can save your favorite search criteria, in this case you do not have to type them every time you start a search

3. Budget follow-up

Information about contract value, budgets and residual value/hours are shown in this report, which can be used for status meetings, project follow-up and general reporting.

How can you use it?

  • Get an overview of contract value and budgets (hours/amount) on all or chosen projects
  • Control the progress on vouchers, because the color coded report shows which vouchers are overrun
  • Calculate work in progress
  • Follow budget progress on fixed price projects in hours/amount
  • Get a quick overview of projects with overrun budgets

4. Accounting - Projects / work in progress

This report is interesting if you are working on fixed price projects and use TimeLog EVM for your revenue recognition/work in progress. It gives a complete overview of the economical key figures on fixed price projects.

How can you use it?

  • Get an overview of contract value, invoicing and revenue recognition per customer / project
  • Calculate work in progress in real time based on booked figures
  • Calculate contribution margin per customer / project for a given time frame
  • See the value of hours/costs on already booked and pending hours/costs in one table 

TIP: The report has a special filter, so you can choose to see only the projects that have work in progress. This makes the report very useful for accountants.

5. Payment Plans - Overview

Is the project’s payment plan invoiced? The report “Payment Plans – Overview” is made for those of you, who need to see the status of projects and their instalments.

How can you use it?

  • Get an overview of all projects' instalments at once
  • Check if the instalments are approved and billed
  • Perform a liquidity assessment for the coming months based on the project’s payment plans
  • See what projects use what invoicing type (fixed price, time and material, or a mix of both types)

TIP: You can search for the rates which lack approval by using the filter Instalment status.

6. Project Factor

This report is perfect for you if you like colors and key figures and miss an effective way to compare project performance. You have six different calculation options to choose from, so you can pick the one that fits best. At the same time, you can determine when the project factor’s indication color should change from green to yellow or red.

How can you use it?

  • Introduce a strong key figure for projects, which are used broadly in the consultancy business
  • Get a graphical overview of which projects that perform well and which that do not
  • Quickly seek out the bad performing projects in order to initiate necessary adjustments
  • Collect and understand the basis of calculations of the project factor on your projects

TIP: If you want to manage your company using the project factor, you first need to set up how the project factor is calculated.
