One business – separate locations

Web based time tracking turned out to be the solution.

For Docmap the challenge has been the location of their two departments in respectively Oslo and Stavanger in Norway. The distance between them has entailed challenges in the internal administration.

“Before we used TimeLog Project, I didn’t have direct access to data from our development department in Stavanger. Now, I have all the information I need, seconds after my employees have registered their time in TimeLog Project,” says CEO Svein H. Syversen.

At the same time, Docmap has consultants spread out over large distances in Norway and Sweden. This is why web based time tracking is the perfect way to increase management’s overview and secure effective business processes.

“We have consultants in Norway and Sweden who need to be able to track their time. TimeLog Project makes it simple and fast for them to do this directly on their laptops – wherever they are located. This means that I have an updated overview of the business at all times,” says Svein H. Syversen.

Docmap has been using TimeLog Project since 2005, and it has become the company’s most central business system.

“Before we started using TimeLog project, we didn’t track time in a system as such, but in Excel spreadsheets. Each month I would gather the employees’ data in one spreadsheet. Afterwards I had to go through all the time registrations manually, to see what could be invoiced or not. At the same time both internal and external projects were mixed. With TimeLog Project these processes have become much easier, and internal/external projects are automatically separated. To us using TimeLog Project means that there are no problems in handling the 50-60 different projects we are currently working on,” says Svein H. Syversen and continues:

“Mainly, we use the system to track time and invoice customers. TimeLog Project has made it possible to gather all the necessary data to obtain an overview of our level of effectiveness and sales. At the same time the system helps highlighting new leads. All we have to do is track each hour in the system.”

Tangible results

Already now, our accounts, when compared to last year, show that TimeLog Project has been a good investment.

Soon the financial results began to show:

The long-term possibilities

But TimeLog Project is more than just web based time tracking, with the right configurations and training the system can replace entire business systems.

“We have a hosting agreement for TimeLog Project, and therefore get the product at a very reasonable price. This means that each employee only has to register one hour to cover the monthly cost of using TimeLog Project. I think that is a really good return on investment,” says Svein H. Syversen.

In the longer term, TimeLog Project can give insight into both the advantages and disadvantages of the ways the company is organised. Time tracking can be used to compose measurements and analyses of everything from the contribution margins to the employees’ billability and areas of focus in the various business units. TimeLog’s products are effective management tools that simply and efficiently improve the company’s profitability.
