The bookkeeper immediately sees which invoices are ready for booking and thereby saves time on internal communication in the invoicing period.
It can be a time-consuming process when invoicing. There are many invoices to handle and many persons involved. Therefore, we have made improvements to the invoicing process, so you can save time.
Two new interfaces in TimeLog Project
We have divided Search invoices into two new interfaces: Invoice drafts and Invoice archive. This makes it easier to manage the invoicing process, as Invoice drafts takes its point of departure in the invoicing here and now, and the Invoice archive is a reference tool for old invoices.
This interface now supports a long requested process management, which facilitates the communication flow internally in your company.
When a project manager creates an invoice drafts, (s)he can enter Ready for invoicing on the single invoices.
This means that the bookkeeper can search for these invoices and check if everything is okay knowing that the project manager has confirmed that there will be no changes on the invoice. In this way, simple invoices can be processed quickly without waiting for all invoice drafts to be completed.
Remember that you for each single user can choose if (s)he is allowed to book invoices. By limiting this, you make sure that only selected persons can book invoices, which minimise errors.
The process can look like this:
- The project manager creates an invoice draft
- The project manager marks the invoice ready for booking
- The bookkeeper checks for errors
- The bookkeeper books the invoice
- The bookkeeper transfers the invoice to the financial system, if necessary
- The bookkeeper marks the invoice as balanced, when it is paid or accounting is completed
As something new, you can search for a specific invoice range, invoices based on a specific customer contract or a general contract type. This has made your search options even more specific.
Under View options, you can select the amount of data you would like to include in your overview. In the invoice archive, you can also select if you want to see drafts, so you still have the total overview of a customer’s invoicing.
Fast and easy search
When you have selected your search criteria (filters), you can choose to save the search by clicking the arrow in the bottom, right corner next to Show (see the screenshot above). Here, you can name and save the filter. The next time you click the little arrow, you can choose from your different filters.
If you want a specific search to be your default each time you enter one of the interfaces, you can set the default filter in your personal settings for each page, and also choose if data should be loaded right away when entering the page; without any action from your side.
Less filling – more data
Another improvement is the search section automatically folding when you have searched for specific data, making more room to show the data interesting to you. You can always unfold the filter again for a new search.
If you have a long list of invoices/drafts, you will see a filter icon in the left side. If you click it, you automatically return to the top and the filter will be unfolded and ready for a new search.
